1. Responsible party and Information Officer
CallAnswer247 is a trading name of Garreth Taylor Enterprizes (Pty) Ltd, registration number 2020/124358/07, of Vredekloof Road, Cape Town, 7560, South Africa. The Information Officer is Pierre Basson and may be contacted at admin@callanswer247.com or 021 891 4394.
CallAnswer247 is independently responsible for account, billing, website-enquiry, security and support information. For caller information processed on a customer’s documented instructions, CallAnswer247 may act as the customer’s operator under POPIA.
2. Data subjects and information categories
Data subjects may include prospective and current customers, their authorised users and staff, callers, appointment contacts, suppliers and people who contact us.
Information may include identity and contact details; customer business details, operating hours, greetings, FAQs and routing instructions; account, authentication and support records; caller numbers and call metadata; messages, transfer outcomes and appointment details; and subscription, billing, usage, security and technical records.
3. Purposes and whether supply is required
We process information to respond to enquiries, create and secure accounts, configure and deliver call-answering services, route calls, take messages, manage appointments, provide support, administer subscriptions and usage, protect the service, keep appropriate records and meet legal duties.
Providing information is generally voluntary before you contract with us. Information marked as required is necessary to process an enquiry, open or secure an account, configure the service or perform the requested function. If required information is not supplied, we may be unable to provide that function or service. Callers may choose what information to provide, but some requests cannot be completed without sufficient details.
4. Customer responsibilities
Customers are responsible for ensuring that the business details, FAQs, greetings, recipient details, routing instructions and caller-processing instructions they supply are lawful, accurate, current and appropriate. Customers must give any notices and obtain any permissions required for their use of the service and must not instruct CallAnswer247 to process information unlawfully.
5. Calls and operational records
Calls may be processed in real time so the automated receptionist can understand and respond to callers. Calls are not routinely recorded at launch. Relevant operational details, including call metadata, messages, transfer outcomes and appointment information, may be retained for service delivery, security, support and record-keeping.
6. Recipients and cross-border processing
Information may be processed by contracted providers supporting hosting, databases, email, telephony, automated receptionist functions, calendars, security, support and payment services when applicable, and may be disclosed where lawfully required.
A provider may operate outside South Africa. In that event, we take reasonable steps to ensure that cross-border processing meets POPIA requirements, including appropriate contractual, organisational and technical protections.
7. Safeguards and retention
We apply reasonable technical and organisational measures appropriate to the information and risk, including controlled access, authentication, restricted administrative permissions, encryption where appropriate, monitoring and supplier safeguards. No security measure is absolute. Information is retained only as long as reasonably required for service delivery, legal, accounting, security, record-keeping and dispute purposes, after which it is deleted, anonymised or securely placed beyond use.
8. Data-subject rights
Subject to POPIA, a data subject may request confirmation and access, ask for correction or deletion of qualifying information, object to processing in permitted circumstances, withdraw consent where consent is the basis for processing, and complain about unlawful processing. Requests should be sent to the Information Officer at admin@callanswer247.com. We may verify identity before acting on a request.
9. Marketing choices
Where CallAnswer247 sends direct marketing, it will do so in accordance with applicable law. You may object or unsubscribe using the method provided in the communication or by emailing admin@callanswer247.com. Service and account communications necessary to provide the service are not marketing messages.
10. Complaints
Please first contact the Information Officer so we can investigate and respond. You may also lodge a complaint with the Information Regulator (South Africa). Current forms and complaint channels are published on the Regulator’s official website at inforegulator.org.za.
